Familarity of a windows program – drag and drop
Following the latest thinking in usability engineering, eyebase mediasuite has been made to work much like a Windows type program. A folder structure, which can be freely expanded, is used to manage your media files. Folder contents can be seen in various, switchable, views. As such, even with large quantities of files (over 1000 images in a single folder) it is possible to get the performance of a locally installed program.
Just click the [+] to show a folder´s sub-folders and the [-] to collapse the folder again. It is possible to make selections with CLICK as well as the standard multi-selection methods of + CLICK and + CLICK. Drag-n-drop of folders and rich media is also in there. You´ll be surprised at how intuitive the system is to operate and it´s all web based!
User and security management
eyebase provides access control to digital content at multiple levels:
Each user logs in with a user name and password. The database allows an unlimited number of user accounts. Each user can create media folders and determine whether each folder for their eyes only or visible to other users.
And if they can see the folder, whether or not they can alter the information or if it is read-only.
Automatic format conversion and metadata entry during file import
Many of the features we have developed in eyebase come about because we practice media management ourselves and know how to find efficient workflows.
For this reason, eyebase mediasuite allows an unlimited number of upload profiles to be defined. Each upload profile specifies, for a given media type, what happens automatically when a file is uploaded using that profile:
- Up to three different versions of the file are created, for example an image file may have a thumbnail, web-ready and print-ready version.
- Configuration of metadata: IPTC/EXIF values within images, EPG values in audio/video.
- Set the destination folder and/or collection.
- Automatic extraction and recording of technical information such as image dimensions, dates, original file name, etc.
- Efficent Digital Asset Management and Media Asset Management.
- Store other pre-defined metadata where suitable.
- PDF documents can be analysed on import and have created additional files which are the individual sections or pages of the imported file.
- Keyframes can be made of a video´s contents, allowing navigation by individual scene later on.
Upload profiles can be created for individual users or made available to all users.
Management of at least three file qualities
For each of the many supported file formats, eyebase allows you to create and administer up to three different versions. Images, for example, commonly have a preview (thumbnail) version, a web-ready version and a print-ready (high resolution) version.
A different set of useful options can be other file formats. So for a text file it is possible to create a preview JPEG, a web-ready PDF and the original copy of the document.
From an imported video a preview JPEG, a web-ready Flash file and the original video files are automatically generated and stored.
All parameters of each file quality can be adjusted as and when needed, such as the number of pixels in an image, the pixel size in Flash files or the criteria for keyframe generation in a movie.
In this way you can control the media quality according to the intended use.
Sending collections of files using PINs, with different levels of security and display options

Metadata fields seperately configurable for images, documents and AV media
Every practitioner in the industry knows: products or portfolios move on, the media material changes, videos or product catalogues suddenly arrive and the original media database solution is no longer a precise fit.
For this reason virtually all settings in eyebase mediasuite are configurable and extensible. Depending on requirements, the set of fields defined for images, documents, and/or audiovisual media can be the same or they can be completely different. You can also define some fields which are key fields for all media and others which are specific data for specific media. For example running time is only for videos.
Correspondingly, searches can be over all media or over selected media types.
Configurable folders
Get organized by creating an arbitrarily complex folder structure to suit you. The number of folders and the hierarchy depth is unlimited. Set precisely the permissions you want for each folder: perhaps the folder contains personal content, or can other users can see the data too? add to it? delete it? Want to allow other users to create new sub-folders or delete existing ones?
You control whether you want to open at given startup sub-folder or not. All these permissions can be controlled for each individual folder or for groups. All of this helps to optimise the look-and-feel of the interface for small, medium and large projects.
Usability Engineering
We have created an intuitive user interface for eyebase mediasuite that can be used immediately and without training.
Many features such as drag-n-drop are taken from the Windows style of program and implemented in web technology.
Account Manager
The Account Manager is the security centre of eyebase mediasuite. Sensitive data requires appropriate protection against unwanted access, accidental changes or simply have the security of long-term archival. Other data in turn will be assigned to specific users, as straightforwardly as is possible, for further processing.
Account manager creates new database users and manages their permissions through membership of user groups. Furthermore, detailed permissions for individual users and individual folders can be set. We will be happy to assist in setting up your own security structure if required.
Research Client
Should you want to give your clients / business partners eyebase access without the ability to change content then a research client can be configured. By default this looks very much like the eyebase application with the blocked features removed, however we can easily customise the UI (user interface) to your own look-n-feel. Your client retrieves the content via a user-configurable URL.
It is simple to define the research client´s permissions to access folder contents. The end-user can then browse all shared folders, use the powerful eyebase search tools or download files via a QuickList.
Batch Edit with MS Excel
Similar to Microsoft Sharepoint, eyebase allows you to do a mass edit process of many records using MS Excel. Just open the metadata of your media assets directly from eyebase in Excel. Do all your data editing in Excel, save it into an upload folder and wait until eyebase has automatically completed in the background what usually was a time consuming task for you to do.
iPad und iPhone App for eyebase
With the release of Apple iOS5 comes a new eyebase feature. Using the PhotoSync for eyebase app and eyebase (from version 4) you are able to use your iPad or iPhone to conveniently, quickly and securely upload your images directly into eyebase.
Simply search for “eyebase” in the Apple App Store, download the PhotoSync app and install. In eyebase you can configure your settings (Admin -> Personal Settings -> PhotoSync) for optimal use of your device.
eyebase available for iPad and iPhone
eyebase is the first web based digital asset management system, worldwide, fully compatible with Apple´s mobile device browser. Without installing extra software or apps, eyebase can be used natively on iPhones and iPads, just as intuitively as you would use it on a computer´s browser. In addition to that, we already reported about PhotoSync; the app which transfers media assets form mobile devices directly into eyebase.
Advanced Download
The Advanced Download feature makes it possible to download files according to targeted use, such as for e-mail. This is available from eyebase, the Research Client and shared collections.
Since the download link can be sent to a particular e-mail address it is possible to know who downloaded the files and when.
It is also possible to set rules with Advanced Download. To give just one example; if there is a restriction on the usage of an image then the recipient will have to click on a checkbox: “Accept usage restrictions”.
PayPal
The download functionality of eyebase has been enhanced to include a payment option through PayPal®.
Would you like to sell images for a fee? No problem! The buyer is sent the download link only after the PayPal transaction has completed.
Of course it is possible to vary the price of an image according to such parameters as output medium and download size. Purchasers can also be administered individually and billing generated on-line.
